How to Write an RFQ for Construction Machinery Parts: Complete Guide for Importers

Why Your RFQ Determines Whether Suppliers Take You Seriously

Every Chinese supplier receives dozens of vague messages every day: *"Need price for excavator parts"*, *"How much for mixer truck parts?"*. These inquiries go straight to the recycle bin — or worse, get a generic "please send details" reply.

A professional RFQ (Request for Quotation) does three things:

This guide gives you a copy-paste RFQ structure that works for construction machinery parts — mixer trucks, excavators, loaders, and heavy trucks — sourced from China or anywhere else.

The 8 Essential Elements of a Professional RFQ

1. Clear Part Identification (the Most Important)

Chinese parts suppliers work with OEM numbers. If you only send a name like "hydraulic pump", you will get 10 different prices for 10 different pumps.

Include as many of these as you have:

IdentifierExampleWhy it matters
OEM part number4701B0010 (XCMG)The single most reliable key for lookup
Machine modelXCMG XZJ5250GJBA4Confirms compatibility
Brand of partBonfiglioli / Parker / RexrothOriginal or replacement brand
Photo or drawingAttach image / PDFEssential for non-standard parts
Material / spec notes45# steel, hardenedAvoids wrong material quotes

**Rule:** If you do not know the OEM number, send a photo plus the machine model and VIN or chassis number. A serious supplier can identify most parts from a photo within a day.

2. Quantity and Order Structure

Suppliers price differently for sample orders, trial orders, and container orders. Be explicit:

**Why it matters:** A supplier who knows you are a repeat buyer quotes 10–20% better than one who thinks this is a one-off. Volume expectations also determine whether they reserve stock for you.

3. Target Price (Optional but Powerful)

Many buyers are afraid to state a target price. That is a mistake — in the Chinese market, stating a realistic target price range filters out unserious suppliers instantly.

*Example: "Our target price for this item is USD 85–95 FOB Shanghai. Please confirm if this is achievable and what specification adjustments would be needed."*

**Caution:** Do not give an unrealistically low target. It will either scare away good suppliers or attract the ones who will deliver low quality.

4. Delivery Terms and Timeline

Always state your preferred Incoterm and target shipment date:

5. Quality Requirements and Standards

For construction machinery parts, quality expectations must be explicit:

6. Payment Terms Preference

Standard international trade terms for parts from China:

TermTypical useRisk for buyer
30% T/T deposit, 70% before shipmentStandard for new suppliersMedium
30% deposit, 70% against B/L copyCommon for repeat ordersMedium
L/C at sightLarge orders, established banksLow
D/P or O/AOnly with trusted long-term suppliersHigh

Stating your preference upfront avoids wasting a week negotiating payment terms after the price is agreed.

7. Your Company Background (Brief)

One or two lines is enough: who you are, what you do, where you operate.

*Example: "We are a construction machinery parts distributor in Tashkent, Uzbekistan, serving 50+ local contractors. We have been importing from China since 2021."*

This immediately positions you as a genuine business, not a student or a competitor fishing for prices.

8. Clear Request for Response

End with a specific ask so the supplier knows exactly what to send back:

5 Common RFQ Mistakes That Kill Your Reply Rate

Mistake 1: "Need price" messages

No part number, no machine model, no quantity. This is the #1 way to get ignored or get a canned reply.

Mistake 2: Asking 10 suppliers the same vague question

You will get 10 different prices for 10 different parts. You cannot compare, and you waste everyone's time.

Mistake 3: Sending an RFQ but disappearing

Suppliers remember buyers who vanish after receiving quotes. If you are not ready to buy in the next 1–2 months, say so honestly — it keeps the door open.

Mistake 4: Only comparing price, never capability

The cheapest quote is often the most expensive in the end. Compare: documentation, warranty, response quality, and references.

Mistake 5: No follow-up

One RFQ, one reminder after 5–7 days, one call/WhatsApp nudge. Good suppliers respond to persistent professional buyers — the quiet ones get deprioritized.

Frequently Asked Questions

What if I don't have the OEM part number?

Send a clear photo of the part with the machine model and chassis/VIN number. Most experienced suppliers identify parts from photos within 24 hours. For hydraulic and electrical components, also check for stamped numbers on the part itself.

Should I reveal my target price to suppliers?

Yes — a realistic target price range is a strong filter. It saves time, attracts serious suppliers, and signals you know the market. Just make sure your target is based on real market data, not a guess.

How many suppliers should I send my RFQ to?

Send to 3–5 qualified suppliers. More than that creates noise and makes follow-up unmanageable. Fewer than 3 leaves you without comparison leverage. Choose suppliers with relevant product specialization and export experience to your region.

What is a reasonable response time to expect?

A professional supplier replies within 24–48 hours with a structured quote. If you hear nothing in 3 working days, send one polite follow-up — if there is still no response, move on. Silence usually means they cannot deliver what you asked for.

Is FOB or DDP better for first-time imports?

For first-time imports, DDP (delivered duty paid) reduces risk because the supplier handles freight, customs, and delivery to your door — but you pay a premium and must trust their logistics. FOB gives you control and lower cost once you know your freight and customs process. Many first-timers start with DDP for a small trial order, then switch to FOB for regular bulk orders.
